  • Information Collection: Event organizers collect personal information (name, email, phone number, payment details) when attendees register, buy tickets, or contact them. Non-personal information like IP addresses and browser details may also be collected automatically via cookies.

  • Use of Information: Data is used to process registrations/payments, provide event updates, respond to inquiries, and improve services. With consent, it may also be used for marketing and promotional communications, from which users can opt out at any time.

  • Data Sharing: Organizers typically do not sell or rent personal information but may share it with:

    • Third-party service providers (e.g., payment processors, event management 

    • Event partners or sponsors, often only if an attendee's badge is scanned by them at the event or with explicit consent.

    • Legal authorities if required by law or to protect the company's rights.

  • Data Security: Appropriate technical and organizational measures are implemented to protect personal data, though no online transmission is 100% secure.

  • Data Retention: Information is retained only for as long as necessary to fulfill the purpose for which it was collected or as required by law.

  • User Rights: Attendees have rights regarding their data, which may include the right to access, correct, delete, or object to the processing of their personal information.

Privacy Policy - The Basics

Having said that, a privacy policy is a statement that discloses some or all of the ways a website collects, uses, discloses, processes, and manages the data of its visitors and customers. It usually also includes a statement regarding the website’s commitment to protecting its visitors’ or customers’ privacy, and an explanation about the different mechanisms the website is implementing in order to protect privacy. 

 

Different jurisdictions have different legal obligations of what must be included in a Privacy Policy. You are responsible to make sure you are following the relevant legislation to your activities and location.

What to Include in the Privacy Policy

Generally speaking, a Privacy Policy often addresses these types of issues: the types of information the website is collecting and the manner in which it collects the data; an explanation about why is the website collecting these types of information; what are the website’s practices on sharing the information with third parties; ways in which your visitors and customers can exercise their rights according to the relevant privacy legislation; the specific practices regarding minors’ data collection; and much, much more.
